The MindManager Topic Notes Editor: Time for a big change?

The Topic Notes editor has remained virtually unchanged for a decade.  A format painter (copier) has been added in MindManager 2012 and way back in 2002 the ink tools were added.  Nothing else has happened.  I met Blaine Mathieu Chief Products Officer at the Mindjet Revolution Roadshow, a few days ago.  After a short discussion, he invited me to send him an email on this matter. Here are my thoughts and your chance to help me write that email to encourage Mindjet to be evolutionary and well as revolutionary!

I have used the Notes editor to create hundreds of web sites: the notes become web pages.  Until last week I used it to create the Cabre web site but I had to do too much post processing to include bits of HTML for videos etc. and had other issues around site management not to do with the Notes Edtor. I have switched to WordPress with MindManager content where required.   The ConferenceREACTION web site is currently produced with MindManager but will switch to WordPress soon.  It’s a pity because all the content is produced with MindManager.

With the Word export I use Topic Notes to create the paragraphs in “Introduction to MindManager” (to be transferred to new web site),  a 20 page  booklet with 50 plus images in it.  I started with Mindmanager X5 and I will updated it to the sixth edition 2012 shortly.

So why change?

It lacks:

  • Word wrapping: you have to use tables.
  • The tables are unstable when they get big (more than 5 rowsish) and if you use cell merge.
  • You cannot include HTML, only links. So no embedded videos, maps or other “gadgets” e.g. mail list capture, twitter streams etc.
  • You cannot resize large images to suitably sized images as you add them to the Notes (or Topics) thus preventing map bloat!
  • It is difficult to manage the formatting in the notes to get the correct format in Word. If you transfer the MindManager Topic Notes format to Word, you can’t (easily) use the Word Styles to manage the formating.

What would I like to see

Three and half editors:

  1. Keep it simple i.e.the current one.  For simple note taking
  2. A Word editor which uses the style selected for the Word export. Perhaps it opens a Word window and saves the file as an attachment to the map visualised in the Notes pane.  you can support this idea in Mindjet’s User Voice – Editing Topic Notes with Word.
  3. An HTML editor. Something like the ScribeFire for Firefox.  It’s great for editing and storing frequently used HTML fragments.  With the option of using Micrsoft Expression?  You can support this idea in Mindjet’s User Voice – HTML Notes Editor 

3.5 An editor for creating WordPress content. That is one which creates clickable image maps and other content that can be directly exported to my WordPress blog(s). I will write about this seperately.  One respected internet commentator Graham Jones said in his newsletter last weekend: “In my view, though, there is only one way to go: WordPress.” Repeating my dream: Just imagine if Mindjet had developed the HTML editor they had in early versions of MindManager we would be using MindPress now!

What do you think about Multiple Hyperlinks in MindManager 2012 topics?

I am not keen.  Today I was updating the hyperlinks on a map. It happened that I had set View > Show/Hide > Hyperlinks to off. I was merrily dragging links from my Cabre web site on to a map that already had all the topics I wanted.  It was going to be a visual index on the web site.  Halfway through the process I realised my web page names were causing some problems.  So I changed them and redragged the links to the map.

After posting the clickable web export of the map into the web page I tested it and found it did not work.  I had already been scratching my head a lot today about various web site issues and this one seemed to be an unecessary problem. I have created hundreds of clickable image maps in the last decade and they normally work.

When I looked at the image map html code more closely I saw the problem. The URLs were pointing at a local network URL http://192.168.1.77 etc. Where did that come from?  I went back to the map and set View > Show/Hide > Hyperlinks to on.  No Cabre favicons only a figure of 8 link!  The penny dropped multiple hyperlinks per topic.  The local URLs were from when I tested the site on my local PC.  They were followed by all the URLs I had subsequently dropped on the topic.   The first URL in the list is used by the web export.

This disrupts my long standing and very effective way of working.  Please Mindjet can I have switch in the Options of the next service pack to turn this feature off?

On a more general note I don’t get having multiple links per topic. How do you know what they are without their page title or your topic text?  Some web sites uses numerical page names which have no hint of the content and many are longer than you will be able to see on the Manage Hyperlinks screen even when you mouse over.

I know there are many MindManager users who have been begging for this feature for years. What do you think?

MindManager 2012 – Installation – My Story

It feels like Mindjet always launch their new products on a day when I am already committed to something else.  Today I thoroughly enjoyed hosting a meeting in the Hampshire countryside for  18 “associates”.  It was a virtually “unplugged venue”, in fact someone had to leave because they were so desperate to download a large file from a client and review it!  Today my committment to Mindjet versus my committment to the event was won by the event. Although I did try very earlyy this morning to see if I could find a download.

I have just downloaded MindManager 2012 Professional (11pm). I have MindManager 9 installed and I need it to continue to work as a desktop client for my Mindjet Catalyst workplaces. Let’s see what happens.

  • Microsoft C++ gets an update as well.
  • I better turn off all the Microsoft Applications and MindManager 9 first.
  • It thinks my organisation is HP. My problem: I have just transferred to a “new” Tablet PC, an HP 2740p (touch and stylus). I need to change the organisation in my PC set up somewhere.
  • The install is running.
  • It’s installed. I wish it’s icon was different to MindManager 9 in the Task Bar as need both.
  • Restarting Outlook because the installation said features would not be working until Outlook is restarted.
  • Starting MindManager 2012 Professional.
  • Ah the “Getting Started” pane has appeared.  A new feature for new users. (To be investigated later)
  • The My Maps shortcuts and folder have been imported from MindManager 9
  • My Quick Access Toolbar settings have not.
  • An existing map with a linked Excel range is working.

These maps are my notes plus a few personal comments  and questions. Come back again at the end of tomorrow and I will provide some links to relevant information.

My personal recommendation to you is, if you have MindManager 9 and  particularly if you have an older version is order the upgrade now. It’s £79 plus VAT, it will be £99 from the 22nd September. If you don’t have MindManager 9 Windows, buy it now for £199 plus VAT with a free upgrade to MindManger Professional 2012 because from the 22nd it will be £299 plus VAT.  Please contact me for more information on how to order. :)

Overview of the Release

There are two new products:

  1. Mindjet MindManger Professional 2012 (Windows desktop application)
  2. Mindjet Connect (Cloud based collaborative workspace with mobile access)

MindManager Professional 2012

This replaces MindManager 9 for Windows. There are two significant previously paid for add ins: Power Markers and Sharepoint Integration incorporated in the product. Plus the Project JetPack templates, a new brainstorming mode, 2×2 matrix analysis and enhanced task management.

Mindjet Connect

This replaces Mindjet Catalyst. There is a free version offering basic facilities to individuals and collaborative groups. The subscription Business version provides features for larger groups and for storing maps and files in a folder and sub-folder structure with different access rights.

 

Mindjet for iPhone and iPad – Version 1.0 – Map of relevant links

Information Mapping Across the Organisation

Mindjet have a series of seminars titled “Information Mapping Across the Organisation” running in Europe over the next two weeks.  Scandinavia this week. The Netherlands and UK next week.

I am speaking at Lord’s and Old Trafford (the cricket grounds) in the UK.  I will be showing the audience some Customer Use Cases with MindManager featuring: Brainstorming, Strategy, Projects and Communication.  It would be great to meet you there. The events are free, in the morning from 08:30-12:30 and include breakfast.

Grumpy Old MindManager User

MindManager 9 was released in August 2010. Some features from previous versions were omitted and people moaned including me. During this week I have missed three lost features again:

  • A working project planning tool like JCV Gantt.  See this discussion in the Mindjet Forum – Task Info operations’ behavior remain a mystery to me
  • Topic Alerts
  • Outlook Map Parts: I can use the MindManager 8 ones but frustratingly whilst opening an Outlook window for e.g. a task, it does not add the task to to the current topic.  You have to go to the Task window in Outlook, open the Add Ins Ribbon and then add the task to the map.  Made the mistake of demonstrating this to a client before Christmas thinking it was still working in MindManager 9! :(

Will Service Pack 2 wind the clock back and when will it appear?

p.s. I am also grumpy about:

  • Why some web sites bring Firefox to a grinding halt or was it the Skype Add Ins Manager.
  • Why Windows can’t remember the actual size of my extension monitor. It often uses an approximation of 1360 x 768 but it’s actually 1440 x 900.

MindManager 9 Service Pack 1 Released

Guess what Windows 7 threw a wobbly today stopping MindManager (runtime error C++) and MailWasher (.NET 3.5 problem) from running. I believe the .NET 3.5 installation was corrupted somehow. It took most of the day to try out various fixes culminating in a Windows 7 Upgrade from CD. Upgrade equals repair. You can see the trauma unfold in my tweets for today.  So I have not spent that much time on the service pack. My thoughts so far are:

You should be able to get the update 9.1.157 in MindManager > Extras ribbon > Updates or go to the Cabre MindManager page to download a trial copy.

The good news: Mindjet have reacted quickly to user issues and fixed some of them.

  • Generate Mindjet Player files locally. The install file has grown by 20gb!
  • Added print preview to the Quick Access Toolbar
  • Outlook integration issues
  • Gantt View and some parts of the planning model
  • An Import section under the File tab
  • Check out the release notes below for more

The bad news for me is:

  • I still can’t use MindManager to plan in minutes and hours within a day and have a change in task duration affect the times of linked tasks.
  • MS Office 2010 allows you to add controls under the File tab to the Quick Access Toolbar. Why can’t Mindmanager?
  • Topic Alerts did not come back. I didn’t use the Outlook integration option.
  • And somethings are still long overdue an overhaul: Word and Web Export, the Tablet PC interface.

BUT I must remind myself and you the blog reader that MindManager is still an excellent product. I still use it every day.  My concerns are about the marzipan and the icing. The cake is great although we may differ on the best possible recipe.

However a group of users and developers expressed their concerns to Mindjet shortly before the Service Pack was released.  This was summarised in the Sociamind blog by Alex Gooding.  Click here to see the map (requires Flash), go to Biggerplate to download the map or click on this link to download the letter to Mindjet PDF. Mindjet MindManager 9 Road Show – Manchester

My final Road Show of the tour.  Good choice for the venue Rachael, Manchester United’s boardroom.  Yes, we did get to see the football field and the red terraces.  Click the photo to see that those extra goalposts have a growing purpose.

Twitter scored two goals this morning. Someone outside of the meeting spotted two of us twittering from within and told us . Which provided me with the ice breaker, “Mike Thomas (aka @thomasmike) please identify yourself”.  Secondly Pascal Venier (aka @pascalvenier) noticed halfway through the morning that we were a couple of miles away from him, so I invited him to join us and he jumped in a taxi. Good to meet you Pascal.

I had spoken on the phone to Peter Maddern (aka @speechem) a few years ago. It was good to meet him face to face and learn a bit more about speech recognition.  He took particular interest in using MindManager with a Tablet PC and posed the question “Can you use MindManager with a graphics tablet in ink mode?” The answer is yes and we worked out how the following day.  For Windows 7 go to Control Panel > Programs and Features and in the left hand colum click “Turn Windows features on or off”.  Tick the Tablet PC components.  This works with Wacom graphics tablets and maybe others.  Vista has something similar.  I can’t find any references to achieving in XP but I believe it was possible with some registry hacking.

Steven Bashford, Senior Product Manager, Mindjet, Germany took the main role for Mindjet.  He lead the group through the improvements and changes in MindManager 9.  He dwelt on the Gantt view, Outlook parts and Slide view giving the audience time to ask questions and dealing with their concerns.  He even told a joke but we all agreed it didn’t work and he should try it again tomorrow in Dublin.  Did it work, Steven?

Here is my map of Bill Creekbaum’s version of the same session “MindManager 9 Overview and Product Demonstration“. I mapped it in ink on MindManager with my Tablet PC, converted it to text, added styles, links and published it to the internet within an hour of Bill’s session ending.

James Hoggett of Contact and Code repeated his overview of SharePoint and MindManager Explorer for SharePoint from the Birmingham Road Show.  Must get that link to the free SharePoint server and look at the polling (survey) tool in SharePoint that James mentioned. There was some good news and some bad news during the morning.

Bad news: Outlook parts no longer track the contact, email, task or note if they are moved in Outlook e.g. to another folder. Pity, I enjoyed demonstrating that working in previous versions.  Mindjet have changed to a different process for linking/integrating with Outlook which is more reliable and uses less processor time.

Good news: I have nearly mastered the slide viewer.  Big tip: Do not include too much on a slide or open up topics with large numbers of sub topics e.g. a Google map part with 10 sub topics.  Create extra slides which focus on details.  I will publish the map I used for my presentation after I have tidied up and remove links to pages I don’t want you to access on my PC :) .  In the mean time here is a Mindjet Player version I upload during one of my presentations “Turning Ideas into Accessible Information

Neutral news: The slide frame in the slide view is the same size as the paper selected in the Page Setup (Slides).  The default is likely to be A4. Some printers will give you more page sizes than others and even a custom size. It may be worth chaning your default printer and playing with different page sizes, if slides do not fill your screen.  May cause problems, if your last print job was to DL Envelopes!

Must get back to encouraging people to update to MindManager 9 prior to the 30th September  launch discount deadline.  Two orders arrived on the day of this Road Show, one via LinkedIn and the second via Ecademy.

Mindjet MindManager Road Show Birmingham

Well my social network worked last night.  Three sources recommended the same pub “The Wellington” and one of them, Roger Vanstone met us there and took Bill Creekbaum and I to his favourite Indian restaurant the “Al Faisal“. Suprisingly we were back in the hotel by 11pm.

It was short walk from the hotel to the Raddisson Blu, the Road Show venue. Very helpful staff and a nice well lit room. Pity they did not notice the projector was set to low brightness.  I fixed that for the second half.

Again a long term friend appeared Maurice Poole who has worked for me in the ConferenceREACTION team. Also Mike Hodkinson who I have met at previous events and online.  Very nice also to get compliments from a couple of members of the silent majority who read what I write in the forums and on this blog (note to self you don’t need to add a link here because they are here:) ).

Back to content. As far as I can tell Bill’s presentation was the similar to yesterday’s but we had two longer discussions. One about the Gantt chart view addressing the concerns of the audience.  Those that attended now have a much better understanding of why MindManager 9 did not meet some of our expectations. The good news is planning tasks within a day will be possible in MindManager 9.1. Today’s project challenge was planning a party for the Pope’s visit to Birmingham on Sunday.  Did we get to the emailing the Pope an invitation stage?

We were also enlightened about how to remove the offset in the slide view. Just drag the left or right hand edge of the frame across, similar to adjusting the topic width but the width remains the same.  I also discovered that hiding topics in the map does not hide them in the slide. If you want to hide topics, do it in the slide views.  The short keys work in slide view e.g. Ctrl-F5 to fill the slide with the map snippet.

Again my general understanding of SharePoint was improved by the presentation of James Hoggett of Contact and Code.  Several big businesses are using it for their intranet sites and James showed us a few home pages.  MindManager Explorer for SharePoint looks as though it will add great dashboarding capability to individuals and teams who want quick access to relevant and important items from MindManager.  James noted that the MindManager Add In was the easiest he had come across to integrate with an exisiting SharePoint Server.

Using the Tablet PC, the web export and share tool to publish meeting notes part of my presentation, generated many questions during the session and at lunch.  Again this group choose Inspiration and Project Management from my four offered topics.  I used the hyperlinks to the map sharing sites to give the audience an appreciation of what is available to inspire them.  I will publish the full map after the last road show.

On my way home now.  Why is the standard of the Virgin first class service on the London Birmingham route not repeated on the Birmingham Winchester route?  No WiFi, no snack, no free beer and typically they ran out of hot drinks (free) for a while.  Thank goodness the power socket worked.
